A pre-order on Kaspi (предзаказ) lets you sell a product that is not in your warehouse yet: in the price list you state in how many days it will arrive, at most 30 calendar days, and the buyer places the order right now. When the batch arrives, you press «Прибыл» (Arrived) before the planned arrival date, and the order continues as a normal one. Miss it, and Kaspi cancels the order itself. So the whole point of a pre-order comes down to one number: how many days to set so that your supplier is sure to make it.
In short
- A pre-order is switched on only through the price list: in Excel it is the preorder column, in XML the preOrder attribute. You cannot set it in the app or in the product card, and a manual change of the price or stock in the card breaks the pre-order.
- The pre-order term is added to the delivery time. A buyer in a regional centre waits 17–18 days on a 15-day pre-order, and sees that date before paying.
- Count the term from your worst delivery, not your usual one: the supplier's longest lead time plus a day for receiving plus a buffer. If the result is over 30 days, a pre-order cannot cover that delivery.
- A failed batch hits the cancellation metric all at once. With 300 orders a month you are allowed no more than eight cancellations through your fault, while one late box can produce twelve.
- Pre-orders work well for made-to-order supplies with a predictable lead time and for new products. For goods that travel with transshipments and customs and no clear date, a pre-order is more dangerous than an empty card.
How Kaspi's pre-order works
The Store rules directly forbid listing products that are not in stock, with one exception — products on pre-order (Store rules, clause 1.10, updated Sep 30, 2026). Kaspi describes a pre-order as a way to sell an item you buy to order before it reaches your warehouse (q3346, updated Aug 13, 2026).
Technically everything goes through the price list in the web version of the seller account. In the Excel file you fill in the preorder column for the product: the number of calendar days that will be added to the pickup date or delivery time. An empty cell means no pre-order. After upload the catalogue updates within 15 minutes (q3348, updated Jun 16, 2026). In XML the same meaning is carried by the preOrder attribute inside availability, and automatic upload picks the file from your server once every 60 minutes if it has changes (q2962, updated Oct 24, 2025).
There are few restrictions, but each one gets in the way somewhere:
| Kaspi rule | What it means in practice |
|---|---|
| At most 30 calendar days | A delivery longer than a month cannot be covered by a pre-order |
| The term is the same for all warehouses in one city | You cannot set different terms for two warehouses in Almaty |
| Different terms by city — only in XML | The Excel price list is unavailable if you have different terms or prices by city, more than 5 warehouses, or warehouses not named PP1–PP5 (q2961) |
| Change price and stock only through the price list | An edit in the card cancels the pre-order |
| Excel updates in 15 minutes, XML once every 60 minutes | You cannot remove a pre-order "right now" through XML |
The Guide words the last line in two ways. One answer says that if you change the price or stock manually in the card, «предзаказ будет отменён» (the pre-order will be cancelled) (q3346). Another says that if you edit the card, buyers «не смогут оформить на него предзаказ» (will not be able to pre-order it) (q3347, updated Aug 13, 2026). The Guide does not say what happens to orders already placed. The working conclusion is the same: while a product is on pre-order, nobody touches it by hand, neither a manager nor you in the app.
How pre-orders fit into the overall picture of stock and reorder points is covered in our article about stock on Kaspi. Here we look at what happens after the first order.
The order's path: from «Новые» to the «Прибыл» button
A pre-order arrives in the «Новые» (New) section, and you have to confirm it. Then the waiting starts, and it has a deadline: the planned arrival date, which is shown in the order details and falls one day before the transfer date (q3349, updated Jun 16, 2026). Before that date you must report that the product is in your hands. How depends on the delivery method:
| Delivery method | What to do when the product arrives | If you don't |
|---|---|---|
| Kaspi Delivery | «Предзаказ» section → select the order → «Прибыл»; a deadline for handing it over at the drop-off point appears | The order is cancelled automatically |
| Pickup | Select the order → «Прибыл»; the buyer gets a notification | The order is cancelled automatically |
| Your own delivery | Call the customer and agree on a time | The delivery deadline is missed |
Not everyone has pickup: it is unavailable to partners who joined the Store after June 15, 2026 (q3349). Orders also have a separate «Предзаказ» tab in the list of statuses (q2255, updated Jun 15, 2026).
Picture this: the supplier promised the batch by Thursday, and the planned arrival date for the orders is Friday. On Friday at 19:00 the truck is still on the road. You cannot press «Прибыл» because there is no product, and at midnight Kaspi will start cancelling the orders. Pressing it in advance, "it'll be here tomorrow anyway", does not work either: after «Прибыл» the order gets a deadline for handing it over at the drop-off point, and if the product is not there by then, you get a delay in a different metric. Hence a simple rule: the arrival date of your earliest order is your real deadline, not the date the supplier named.
If the buyer cancels the order while it is in «Предзаказ» status, the stock is restored automatically (q3694, updated Nov 3, 2025). The fee is returned on cancellation (q1344), and Kaspi Delivery is not charged for a cancelled order (q2312). Money for the product arrives only after the «Выдан» (Issued) status, just like with a normal order (q2308).
How many days to set: a formula for the term
The formula
The term in the preorder column has to cover the worst delivery you have had, not the average one. We count it like this:
Pre-order term = Longest delivery time + 1 day for receiving + Buffer
Take the longest time from your own history of the last 5–10 deliveries from this supplier. No history — take the term from the contract and add a week to it. The day for receiving is needed to count the boxes and check for defects before you press «Прибыл». The buffer is two to three days for things you don't control: a holiday, a queue at the border, an error in the waybill.
A worked example
A hypothetical example, not a client case. The delivery times are ours, the buffer is 2 days. Kaspi Delivery times are Kaspi's averages: 1 day within the city, two to three days to regional centres, five to six days to district centres (q2291).
| Supply | Usual time | Worst time | Pre-order term | Buyer in a regional centre waits |
|---|---|---|---|---|
| Wholesaler in Almaty | 2 days | 4 days | 7 days | 9–10 days |
| Supplier from Russia | 8 days | 12 days | 15 days | 17–18 days |
| Supplier from China, by truck | 18 days | 26 days | 29 days | 31–32 days |
| China, route with transshipment | 25 days | 35 days | 38 days | cannot be set: over 30 |
The last row is the most common trap. The average of 25 days fits the limit, and it seems everything is fine. But a worst case of 35 days means that roughly every fifth to tenth batch (depending on your history) will arrive after Kaspi has already cancelled the orders. A pre-order does not suit such a supply. It is better to wait for the goods and list them with normal stock. How to count the full cost and lead times for goods from China is covered in our article about goods from China for Kaspi.
What the buyer sees
The pre-order term is not hidden. It is added to the delivery time, and the buyer sees the final date before paying. A 29-day pre-order means a month of waiting for someone in Karaganda. Some buyers accept that, especially for a new product nobody else has. But if another seller in the same card delivers tomorrow, your pre-order loses even with a price 500 ₸ lower.
There is one more thing about your place in the card. Kaspi always shows the seller with the fastest delivery in the top 3 (q3190, updated Jun 15, 2026). A seller on pre-order cannot compete for that slot by definition. The order of sellers itself is covered in our article how to get to the top of a Kaspi product card.
Cancellations: the 3% threshold and why pre-orders are dangerous in bulk
The «Отмены по вашей вине» (cancellations through your fault) metric is calculated like this: orders cancelled through your fault ÷ all orders × 100%. It includes cancellations for three reasons: the product is out of stock, the seller did not deliver on time, the seller did not accept the order in time. The share must be below 3% (q2249, updated Feb 25, 2026). Otherwise you face restrictive measures up to termination of cooperation, and after being disconnected for quality metrics you cannot connect again (q3125).
The Guide does not say directly which of the three reasons Kaspi assigns to an automatic pre-order cancellation when «Прибыл» was not pressed. By meaning it is "did not deliver on time" or "out of stock". Plan as if such a cancellation goes into your metric.
Ordinary cancellations come one at a time. A pre-order works differently: ten people wait for the same batch, and if it is late, all ten are cancelled on the same day. Here is how many cancellations through your fault you can get in a period and stay strictly below 3%, if there were no other cancellations:
| Orders in the period | Cancellations allowed | Share at that point |
|---|---|---|
| 50 | 1 | 2% |
| 100 | 2 | 2% |
| 200 | 5 | 2.5% |
| 300 | 8 | 2.67% |
| 600 | 17 | 2.83% |
| 1,000 | 29 | 2.9% |
The calculation: allowed = round up (orders × 0.03) − 1. Now a scenario. A store has 300 orders a month, and 12 units of a new vacuum cleaner are on pre-order. The batch is two days late, all 12 are cancelled: 12 ÷ 300 = 4%. The store is in violation, even though it failed nothing else that month. With five pre-orders in the late batch, the same store would have had 1.67%, which is still within the norm.
Hence a second rule that is rarely mentioned: keep the number of open pre-orders per delivery below the cancellation limit for the period. With 300 orders a month that is up to eight units per batch, if there are no other cancellations. If more requests come in, consider removing the pre-order until the goods arrive.
Money: when a pre-order pays off
The main advantage of a pre-order is that you buy against demand that has already been paid for. This shows most on expensive items and on new products where you don't know how many to take. The downside is that you usually pay the supplier in advance, while Kaspi transfers money only after the order is issued, that is, after the pre-order term and delivery.
Before switching it on, estimate on paper how many days your money will spend in transit. Compare two options: bringing the batch to the warehouse or waiting for requests on pre-order.
| Option | When you pay the supplier | When you get money from Kaspi | Days of money "in transit" |
|---|---|---|---|
| Buying for the warehouse, product sells out in 30 days | Day 0 | Days 3–33 as it sells | About 18 on average |
| 15-day pre-order, supplier paid when the order comes in | Day 0 | Day 16–18, after issue | About 17 |
| 15-day pre-order, supplier paid on delivery | Day 13–15 | Day 16–18 | About 3 |
A hypothetical example: the warehouse sells evenly, delivery takes one to three days, the other terms are from the table above. If you pay the supplier upfront, there is almost no difference — 17 days against 18. Money starts working differently only when the supplier waits for payment until delivery or works strictly to order. On top of that, you are not sitting on stock that did not sell. In exchange you get a risk of your own: not stale goods, but a late truck and the cancellation metric.
When not to use a pre-order
There are situations where a pre-order does more harm than good:
- the supplier has never met the promised term, and an honest formula gives more than 30 days;
- the card already has sellers with the product in stock and delivery tomorrow — the buyer will pick them;
- the product is seasonal, and the season will end during a month of waiting — cancellations will then come from buyers;
- you have few orders: at 50 orders a month the second cancellation is already a violation;
- someone in the store changes the price manually in the card, and you cannot stop it.
Where it really helps: a local or Russian supplier who brings goods to order and does not miss deadlines; a new product that nobody else has in the card; bulky goods that are expensive to keep in a warehouse — sofas, refrigerators, exercise machines.
Common mistakes
- A term based on the supplier's promise. They said 10 days, you set 10. The first one-day delay cancels all orders from that batch; the fee and delivery are returned, but the cancellation metric is not.
- Manually editing the price of a product on pre-order. Kaspi breaks the pre-order. If several people handle prices, this item keeps one source — the price list.
- Pressing «Прибыл» in advance. You pressed it, and the product isn't there. Then the handover deadline starts running, and a late handover goes into another metric with a 10% threshold.
- Twenty pre-orders on one batch with 300 orders a month. One delay gives 6.7% cancellations and a violation warning, even though each order looked safe on its own.
- A pre-order in a card where everyone has stock. The buyer sees a 15-day difference in dates and goes to the neighbour. You get few orders and still carry the cancellation risk.
- XML with different terms for warehouses in one city. Kaspi requires the same term for all warehouses in a city; different terms are possible only between cities.
- A forgotten pre-order after the goods arrive. The batch is in the warehouse, but the price list still says 15 days. Buyers see long delivery for a product that is already on your shelf and choose another seller.
Checklist
- The pre-order is set through the price list, not through the card or the app.
- The term is calculated with the formula: the supplier's worst time + 1 day + buffer, total no more than 30 days.
- The same term is set for warehouses in one city.
- Nobody changes the price or stock of this product manually.
- The planned arrival date of the earliest order is marked in the calendar.
- The number of open pre-orders per batch is lower than the number of cancellations allowed for the period.
- The person in charge knows where the «Прибыл» button for Kaspi Delivery is — in the «Предзаказ» section.
- After the batch arrives, the preorder column is cleared the same day.
Two more points, without numbers. Check who else sells this product in the card and with what delivery date: if everyone delivers tomorrow, a pre-order will bring almost no sales. And agree with the supplier that they report a delay immediately, not on the delivery day — then you will have time to remove the pre-order while there are few requests.
How to automate it
The pre-order term and communication with the supplier stay with you, while a dumping bot (repricing bot) can hold the price in the card. The SaleScout Kaspi bot also works with products on pre-order. It checks prices every 20 seconds, puts you at the top of the card and never goes below the minimum price you set. When a competitor raises their price or leaves the card, the bot raises your price to just below the next seller. You can try the bot free for 7 days, no card needed.
FAQ
How do I put a product on pre-order on Kaspi?
Only through the price list in the web version of the seller account. In Excel, fill in the preorder column with the number of days until the product is in your warehouse; in XML, the preOrder attribute in availability. The Excel catalogue updates within 15 minutes, and automatic XML upload runs once every 60 minutes.
What is the maximum pre-order term on Kaspi?
30 calendar days. The term must be the same for all warehouses in one city, and different terms by city can be set only in an XML price list. These days are added to the delivery time, so a buyer in another city waits longer.
Why was my pre-order on Kaspi cancelled?
Most often for one of two reasons. «Прибыл» was not pressed before the planned arrival date, which falls one day before the transfer date — then Kaspi cancels the order itself. Or the price or stock was changed manually in the card, while for a product on pre-order this is allowed only through the price list.
Does a pre-order cancellation affect quality metrics?
The Guide does not specify which reason an automatic pre-order cancellation falls under, but by meaning it is close to "out of stock" or "did not deliver on time", and those are cancellations through your fault. Their share must be below 3%: with 300 orders in a period, no more than eight. It is safer to assume such a cancellation goes into the metric.
When does the seller get paid for a pre-order?
After the product is issued to the buyer, just like a normal order. If the buyer cancels, the fee is returned, and no money is charged for Kaspi Delivery of a cancelled order. You have most likely paid the supplier earlier, though, so the "money in transit" period on a pre-order can be the same as when buying for the warehouse.
Can I set up a pre-order on Kaspi through the Kaspi Pay app?
No. Kaspi describes pre-order setup only through the price list in the web version of the account, in Excel or XML. If you change the price or stock of such a product in the app or the card, the pre-order breaks.
How many days should I set for a pre-order?
Your worst delivery time from history plus a day for receiving plus two to three days of buffer. If the supplier delivers in 8–12 days, set 15. If the formula gives more than 30 days, a pre-order cannot cover that delivery, and it is better to wait for the goods.
